When you apply to work with us, you trust us with your personal information. This notice explains what we collect, why we collect it, and how we look after it.
Change Bio Ltd is the data controller for the personal information you give us when you apply for a role. That means we decide what we collect and how it is used, and we are responsible for keeping it safe.

We ask for no more than we need to consider your application. Depending on the role and how you apply, this typically includes:
If your application progresses, we also collect the notes and assessments our team records at each stage, the outcome of any references, and, if we make you an offer, the information needed for pre-employment checks set out below.
You do not have to give us the information we ask for, but it may affect our ability to consider your application if you do not.
We use your information to assess your suitability for the role, to contact you about your application, and to run and keep a record of a fair recruitment process.
Our legal basis for most of this is our legitimate interest in recruiting for the role and choosing the right person for it, and, at the offer stage, taking steps at your request before entering into a contract. Where we carry out right to work checks, we do so to meet a legal obligation. Where we keep your details for future roles, we rely on your consent, and you can withdraw it at any time.
Applying. You apply through the method set out in the role advert, usually an online form. We use trusted third-party tools to receive and store applications, and only the people involved in the hire can see yours.
Assessment. We review applications against the requirements of the role and assess candidates on merit against consistent criteria. Depending on the role, later stages may include one or more interviews and a task or exercise relevant to the work. We keep structured notes and record how each candidate performed against the same criteria.
References. Before we confirm an offer, we may contact the referees you provide to confirm your experience and suitability. We only approach referees once you have agreed.
Offer and pre-employment checks. If we offer you a role, we ask for the information needed to confirm the appointment. This includes proof of your right to work in the UK, and, where relevant, confirmation of your qualifications. We will tell you what we need and why at the time.
After you join. If your application is successful, the information from your application and offer becomes part of your employee record and is kept under our staff record retention policy. When you start, we enrol you in our workplace pension in line with our legal duties, which means sharing the details the scheme needs, such as your name, date of birth, National Insurance number and salary. You can choose to opt out of the scheme.
We may ask you to provide some information about yourself, such as characteristics protected under equality law, so that we can monitor and improve the fairness of our hiring. Giving this is entirely optional, it is separated from your application, it is not seen by the people making the hiring decision, and it is not used to assess you. Where you provide it, we rely on your explicit consent and the equality of opportunity basis in data protection law.
Your application is seen only by the people at Change Bio involved in the hire. We use third-party providers to run our application process and store data, such as our online form and cloud storage tools, and they process your information on our behalf. If we use a recruitment agency to help fill a role, they handle your data in line with this notice. We do not sell your information, and we do not use it for marketing.
Your information is held securely, whether electronic or physical. Some of the providers we use may process or store data outside the UK. Where that happens, it is protected by the safeguards required under UK data protection law, such as an adequacy decision or standard contractual clauses.
If your application is unsuccessful, we delete the information you have given us within six months of the end of the recruitment process. We keep it for this short period so we can respond to any question or challenge about the process.
If your application is successful, we keep the information from your application and offer as part of your employee record, for the duration of your employment and for six years after it ends.
You have the right to ask us to give you a copy of your information, correct it, delete it, restrict how we use it, or object to our use of it, and in some cases to receive it in a portable form. Where we rely on your consent, you can withdraw it at any time.
